How we developed the Collections system and changed the usual way of product labeling

Collections is a system for automating labeling processes - a huge internal service for an international company, developed on the Omnitep platform.

Why is it important to label a product?

According to the Ministry of Industry and Trade in Russia, more than 6 million units of counterfeit products have been identified since 2018, which is a serious problem for consumers who receive goods of dubious quality for their money, and for product owners, because this negatively affects their reputation.

The labeling system identifies each item by assigning it a unique digital code protected by cryptography. Digital marking allows you to get all the information about the product: the name of the manufacturer, place, date and time of production or sale, expiration date, article number, standard number. This allows you to control the market: the path of any product from the producer to the consumer becomes transparent, and the data is stored in the state information system (GIS). Labeling reduces the spread of all types of illegal products: counterfeit, counterfeit, contraband and others.

Until 2020, labeling was a test, but today, for ignoring the need for labeling, the manufacturer faces administrative liability, and in some cases even criminal liability. In addition, all unmarked items will be confiscated.

Basic principles of work "Chestny ZNAK"

In Russia, there is one Chestny ZNAK system and its operator, the Advanced Technologies Development Center (CRPT), which is responsible for issuing Data Matrix marking codes. The fact that the marking code is issued only in one center is the key difference between the Russian Chestny ZNAK system and foreign systems. In other countries, each manufacturer generates its own Data Matrix code.

How the labeling system works?

The manufacturer or importer applies a unique Data Matrix code to the product before it is released into circulation. The CRPT requires a minimum seven-day supply of such codes.

At the level of logistics, each transfer of goods from the factory to the consumer is recorded. The participants in the turnover exchange primary documents in the EDI, which are transferred to the operator. On their basis, the CRPT transfers the product code from the former owner to the new one.

In the store, the product is placed on the shelf only after scanning the Data Matrix code. This measure is used to protect against the stuffing of counterfeit goods. The system will not allow you to “break through” a fake without Data Matrix at the online checkout.

OFD informs Chestny ZNAK that the goods have been withdrawn when the cashier scans the code at the time of the sale of the marked goods.

Consumers participate in public control and identify illegal products using the Chestny ZNAK application.

What is needed to connect to the system?

Each labeling participant - a manufacturer, importer, wholesaler, retail store, must register in the GIS MT "Honest ZNAK" in order to order Data Matrix codes, submit information about the transfer of goods to another owner or the withdrawal of goods from circulation.

For full participation, an enhanced qualified electronic signature (ECES) is required, which can be obtained from the Federal Tax Service of Russia or from an accredited certification center. In addition, in order to register goods in the labeling system, the enterprise must have an electronic document management system (EDM). It is EDF that forms a universal transfer document (UTD), an accounting document that combines the data of an invoice and a primary document. At the same time, each step - signing documents, fixing the movement of goods, generating reports - is signed with the help of CEP.

We decided how to interact with the GIS MT "Honest ZNAK". Now - about what electronic structures the work will be lined up with. The marking system consists of several electronic structures: GIS MT "Chestny ZNAK", the National Catalog - a repository of data on all goods in the system, GS1 RUS - the issuer of codes. The participant will have to interact with all of them.

To implement a labeling system at home, an entrepreneur will need to prepare:

  1. EDI program (electronic document management);
  2. 2D scanners that can read the Data Matrix code;
  3. online cash register with software adapted to work with marked goods;
  4. a product accounting program that can exchange information with the National Catalog.

Additionally, it will be necessary to establish interaction between the selected fiscal data operator (FDO) and the CRPT.


Analysts of "Business Culture" carefully studied the experience of foreign countries and examples of successful implementation of labeling.

We found out that entrepreneurs are lost in the new conditions of state regulation of trading activities. Many retailers and distributors have never put any means of identification on their goods and have not even kept electronic system records. They do not understand why they need a digital signature, additional programs, electronic document management, ongoing reporting to completely incomprehensible and new structures.

Thanks to this, we realized that the Russian entrepreneur needs a complete system that will both simplify and automate the work with labeling. Therefore, the functionality of our software is designed in such a way that all marking is carried out in one program and customers do not have to spend time learning new technologies and worry that they did not mark the path of the goods in the table and did not report.

That's why we set out to develop the Collections software, powered by Omnitep, to help entrepreneurs quickly and easily implement tagging processes into their work.

It was decided to release an application that would allow suppliers, manufacturers and developers to work together to provide uninterrupted technical support and speed up the turnover of goods.

Our task was to ensure that the Collections application covers the functionality of all the programs necessary for the marking system (the Chestny Znak platform, the EDI system, online cash registers, the inventory program) and is simpler in interface than any of them, and the algorithms would take over routine work on the calculation and systematization of data.

What is the difference between "GS1 RUS", "GIS MT", "TsRPT", "ChZ" and "National catalog"?

CRPT, a center for the development of advanced technologies, was appointed as the labeling operator. GIS MT "Chestny ZNAK" is the same state information system created by the operator, which stores all data on marked goods.

Data Matrix code (marking code) consists of CI (Product Code GTIN + individual serial number of a product unit) and CC (Verification Key + Verification Code).

In order to enter their product into Chestny ZNAK, manufacturers and importers must first obtain a GTIN code for the product. Membership in the Association for Automatic Identification UNISCAN/GS1 RUS (GS1 Rus or GS1 RUS) gives access to its registration. No organizations other than the GS1 RUS association are allowed to assign a GTIN to a product.

After joining, you need to enter a description of the goods in the "National Catalog" (aka KMT). This is a unified repository of product data and part of the labeling ecosystem created by the CRPT. And after that, you can request Data Matrix codes for your products.

We are talking about a large clothing retail chain. All clothing must be labelled.

What do you need to work with labeling?

To work with marking you will need:

Connect EDI to transfer information about the shipment and acceptance of goods;
Obtain UKES (electronic digital signature) for registration in GIS MT and work with marking;
Prepare your accounting system or work through "Chestny ZNAK";
Set up an online cash register and conclude an agreement with OFD for the transfer of sales data;
Set up equipment for application, reading and aggregation.

Let's look closer at each stage: what is required, by when and for whom.

Step 1. Registration in the "Chestny ZNAK" system

Deadline: 01.09.2021.

What is required: UKEP and EDO.

Who needs it: manufacturers, importers, distributors.

Why: to become a participant in the turnover of light industry goods. Otherwise, you will not be able to produce and sell products that are subject to mandatory labeling.

You can register in the system only with the help of UKEP. After processing the application, you will receive a response from the operator by mail.

After registration, you need to get GTINs for your products.

Step 2. Joining the association GS1 RUS

What is required: payment of the entrance fee

Who needs it: manufacturers, importers

Why: Working with this association is the only official way to get GTINs. Without an introduction, you will not be able to create cards for your products in the directory.

GTIN - Global Trade Item Number - is a unique product number in a single world database. It encodes the company number and the specific product of this company. For registered participants in the turnover, the fee has been reduced to 3,000 rubles instead of 25,000 rubles.

After paying the fee, you will receive a certificate of membership in the association by mail, as well as all the data necessary to work in the GS1 RUS system. Next, you need to create a separate card for each product and sign it using UKEP.

Step 3. Creating product cards

What is required: UKEP, personal account of GIS MT or "National catalog" or GS1 RUS

Who needs it: manufacturers and importers

Why: The National Catalog is a large reference book of all Russian goods. Each item will have a unique passport, which will contain a detailed description and accompanying documentation.

You can describe goods in the personal account of GIS MT. The more details you describe, the better, the GTIN code will be generated automatically.

If you already have completed product cards in GS1 RUS, you can upload them to KMT yourself. After moderation, you need to sign the card and start working with codes.

Step 4. Issuance and application of codes on products

What is required: Chestny ZNAK, UKEP, label printer, applicator, barcode scanner, rewinder

Who needs it: manufacturers, importers

The cost of 1 code is 50 kopecks without VAT. Top up your account in your MT GIS personal account in advance - funds will be debited from it depending on the number of codes requested.
Codes can be requested:

In the "Chestny ZNAK" system. To do this, go to the "Order Management Station" (CMS) and order the required number of marking codes.
In your accounting system, by making integration with GIS MT.
In a ready-made solution from integrators.

How to choose production equipment?

It should be easily replaceable and maintainable. It is also important that the training of employees to work with the equipment is simple and clear.
How to work with the goods:

  1. First you need to prepare and customize the label template;
  2. On the printer in the office, print labels with codes, make reels with a rewinder. The accountant or accounting group manager is responsible for them - they keep records of each product group and transfer the bobbins to production. If we count man-hours, then such work takes about 4-5 days a month.
  3. In production, codes are applied to the cork with a manual applicator. A separate code must be requested for each package.
  4. We check the codes using a scanner (2 scanners: 1 for production, 1 for office).
  5. We put the goods into circulation.
  6. We ship to a warehouse for delivery and distribution to distributors.

Step 5. Putting goods into circulation

What is required: "Honest ZNAK" or accounting system, UKEP

Why: this is how you tell the system that the product meets all the labeling conditions and can be sold

In GIS MT, there is a tab "Order Management Station" for this - there you can enter goods with codes into circulation and send them for sale to end consumers or distributors.

Distributors need to accept codes from the manufacturer using EDI and upload them to their accounting system.

Step 6. Sale of goods

Who needs it: distributors, importers

What you need: a driver app

Why: this is how you inform the system that the goods are sold and they are no longer in circulation

When needed:

From March 1, 2022 - mandatory labeling of light industry in production

From September 1, 2022 - sellers must transfer information about retail sales to MT GIS

From November 1, 2022 - February 29, 2025 - all participants begin to keep volume and grade records. You do not need to report for each code, it is enough to prescribe the codes of transport and group packages.

From March 1, 2025 - mandatory piece-by-piece accounting, the code of each commodity unit must be transferred to the system and counterparties.

Developer comment: In the “Collections” system, we also work with warehouses and the logistics system. The problem of electronic document management is always acute, because each document must be correctly executed and entered into the system.

How to implement the transfer of goods?

After the client has paid for his order, he receives the first check for 100% prepayment.

During delivery, the courier scans the Data Matrix code in the application and changes the status of the order to "Delivered". Now the client receives a receipt of full payment with the marking code of the goods.

Information about the implementation is automatically sent to Chestny Znak and OFD.

In the “Collections” system, we have already completely debugged the process with codes and the sale of goods.


It is good that the labeling takes place gradually, in several stages - there is time to prepare for each of them.

Bringing new processes into production requires a huge list of knowledge, many hours of time, and often expensive equipment.
